Brief Summary of Job Duties
Under the general direction of the Director, Special Research Collections (SRC), supervises the SRC Processing Team. Implements processing guidelines and develops appropriate procedures to ensure compliance with UC processing policies and practices. Participates in financial plan preparation and grant funding efforts by creating work plans, developing budgets for processing, preservation, and digitization, and writing proposals and progress reports. Provides leadership in using specific SRC technologies, including ArchivesSpace, AEON, and other tools. Provides practical implementation in areas related to born-digital and digitized collection materials. Carries out specialized activities related to digital collections, including, ongoing support and training to employees in the Division of Research Resources and Scholarly Communication who have responsibilities related to born-digital and digitized collection materials. Responsible for supporting the digital and born-digital program within SRC, working collaboratively with Digital Library Development, Library Information Technology, and ReADS to address the full-scale digital processing of unique records and data sources, access and discovery, and ethical stewardship of hybrid, digital, and born-digital archival collections.
Knowledge, Skills, and Abilities
- Thorough professional knowledge of archival management, theory, and practice – required

- A demonstrated understanding of archival arrangement, description, and appraisal – required
- Demonstrated ability to learn and understand digital collections software and metadata standards for digital and born-digital collections, and other digital resources – required
- An understanding of digital objects in various formats (text, image, audio, video, etc.) and best practices and standards associated with each format – preferred
- Demonstrated aptitude for learning and applying new technical skills, such as using command-line tools and writing simple programs/scripts – preferred
- Demonstrated analytical and organizational skills, including project management – preferred
- Working knowledge of Python, and/or experience with APIs – preferred
- Excellent communication, presentation, and interpersonal skills including service orientation with ability to interact with diverse constituencies – preferred
- Bachelor’s Degree Bachelor’s degree in related area and / or equivalent experience / training. Required
- 4-6 years Professional experience working in Academic Research Libraries Required
- 1-3 years Professional experience with or a keen interest in the processing and management of born-digital and digital archival collections Required

Job Functions/Percentage of Time/Duties
- 25% Supervision – Hires career Archival Assistants, and student employees. Assigns work and coordinates necessary training. Sets performance expectations, and monitors performance providing frequent feedback. Coordinates disciplinary process, and recommends corrective action. Conducts annual performance evaluations. Reviews and updates job descriptions. Reconciles and approves employee time cards.
- 60% Content Management – Operating as the functional expert, coordinates the processing of collections and content consisting of special research materials in all formats by archival processing assistants, and other staff. Implements procedures and workflows for archival priorities, including processing, and providing access to print, digital, born-digital, and hybrid archival collections. Coordinates the appraisal, accessioning, processing, arrangement, and description of special collections materials in all formats in consultation with curators and assistants. Implements efficient workflows based on established policies and library principles; develops and documents processing plans for archival collections. Coordinates the processing and meta-data description activities for born-digital and hybrid archival collections. Assesses emerging technologies, implementing and applying tools used in the special collections environment and beyond, including FTK, and ePADD. Performs technology monitoring for digital archives related tools, systems, and practice. Performs digital archives tool-related software installation, updates, and staff training. Establishes guidelines for quality control in accordance with relevant national and international standards. Evaluates effectiveness of archival operations, and revising processes, as necessary to address unique issues.
- 10% Policy Coordination & Training – Participates in the development, evaluation, and implementation of metadata policies and standards for print and digital content in cooperation with necessary stakeholders. Collaborating with metadata experts, contributes to the planning, managing, and reviewing metadata for Library digital projects. Ensures that staff in SRC and ReADS follow appropriate professional standards for descriptive, structural, and administrative metadata for digital materials. Collaborates with Digital Library Development to develop workflow and processes for management and access to digital content, including the management of metadata and object files in the Digital Assets Management system, and the ingest of digitized and born-digital content into the long-term preservation repository. Creates and maintains documentation and training materials intended for audiences with a variety of technology skill levels. Collaborates with the Division of Digital Strategies to ensure technical implementations and development of digital and born-digital archival workflows that integrate with broader Library systems.
- 5% Miscellaneous – Remains current with relevant emerging standards and professional best practices, and their real-world application. Learns and adopts new technologies and skills in a supportive, but largely self-directed environment. Actively engages in relevant professional opportunities and communities. Performs additional duties, as assigned.
